A simple - but not easy - obstacle course for radio controlled model cars and in the
style of "Battle Zone Robots" cars ARE allowed to engage in combat with one another.




   




The model cars are available for Public Events.


The service is an event entertainment hired or sponsored to attend an event.

Main area of operation is in the Mid-Sussex area of West Sussex.
Burgess Hill, Hassocks, Hurstpierpoint, Cuckfield, Haywards Heath and Lindfield.
Location is about ten miles north of Brighton in the South of England.

Currently there is only one arena available, so when a date is gone it's gone.

If you want the same date as an existing 'Pending' one, you can ask to be placed on a 'Standby' list.

Charges displayed are for events within the normal ten mile operational area of the service.
Guide radius "Henfield, Staplefield, Scayne's Hill, Cooksbridge, Stanmer, Patcham, Fulking".
A travel charge would apply to other locations for the additional complete distance travelled.

####  OUTSIDE USE REQUIREMENTS  ####


Grass area, vehicle access and at arena parking.


Pitch Size: (remember there maybe wheelchair users at event)
The minimum footprint space required, including service vehicle parking and room for customers:
SEVEN Metre frontage. >> Short Side Width 7 metres by Long Side Depth 10 metres.
Shelter height clearance must not be less than four metres.


The arena shelter is used for outdoor events, to help protect
model cars and operators from the sun and any passing bad weather.
The set-up location has to be grass, to be able to anchor the shelter using steel pins.


Side sheets are placed if necessary on a sun or rain side of the shelter, to protect cars and operators.
# If wind speed is too high for safe use of the shelter,
the cars CANNOT be used unless there is an inside option for set-up.





The "FRONT" as such for the shelter is the shorter side, it can however be positioned with either the longer
or shorter side facing towards the view of the general public or to fit the position in a layout at an event.







ARRIVAL AND LEAVE TIMES:
The service needs at least two hours before an event for unload & assemble and up to
two hours after to dismantle & remove equipment, this is included in the hire charge.
Normally. Use of cars will STOP about half hour before event end time and dismantle of equipment will start.



If the needed set-up and remove times are not possible,
then a period within the event's running time will be used so that the before use set-up
happens near to event opening and pack away completed before event closed.


The combined weight of the arena set-up is OVER 150 KG in weight.

####  INSIDE USE REQUIREMENTS  ####



SET-UP LOCATIONS CAN BE:
Local Hall, Classroom or any inside location with needed space.

Service will arrive about forty-five minutes before and needs half-hour after event to clear.


Space for equipment set-up INSIDE building:
5.2 by 3.85 metres minimum must be ready before service arrives.
You need to allow for onlookers and a starting space of 6.2 by 4.85 metres is advised.





Free on-site parking must be available for the time required for service to attend an event.
YOU HAVE TO TELL THE SERVICE BEFORE HIRE DATE, if parking and walking distance
from service vehicle to arena set-up location is more than 10 metres.

A request for a private event date is NOT a completed booking until the hire fee is fully paid.
Hire fee must be paid and fully processed not less than one week (7 days) before event date.

PUBLIC EVENT - PAID HIRE - EIGHT CAR SET:


Event up to 2 hours = £ 120 outside. = £ 100 inside.

Event up to 3 hours = £ 200 outside. = £ 160 inside.

Event up to 4 hours = £ 280 outside. = £ 240 inside.

Event up to 5 hours = £ 360 outside. = £ 320 inside.

Additional time can be added to original booked time once at event.
However, five hours is the maximum event use time.


The service cannot be sub-hired to another party. If it is, ALL parties will be invoiced
for the services usual hire charge plus the hire charge made by anyone sub-hiring.




A usual charge for 'Pay to Play' is £1 or £2 for five minutes.
The event organiser has to collect money.
If there is no 'Pay to Play', then the services will allow free use of the cars.

The normal indicated hire fee has to be paid by event organiser or a sponsor
that the event organiser has asked to cover the hire of the radio controlled cars.

HOW TO REQUEST THE CARS FOR EVENT:

If interested in having the radio controlled models at an event, please contact the service.

The service accepts bookings anytime in advance, if you know an actual date.
A date maybe available when looking at this website one day and the date gone by the next day.
"Pending" bookings dates are not confirmed, only requested, if you want the same date
you can ask to be placed on a 'Standby' list.




Please email service a request to hire the radio controlled cars as a written record,
even if you have indicated over the telephone you wish to use the cars.

WHEN SENDING INFORMATION BY EMAIL:

1. Show name and address of organiser. Email address. Telephone number.

2. Give the complete address for event location including post code.

3. Include the date and time duration of event.

4. Indicate the hire time option you want to use from the list above.

5. Add any information you think the service may need to know.

6. Indicate the start time for when the cars needed to be ready to run.







Once the service has the event information, date and time,
you will be contacted to confirm if cars are available for the event.


For Public Events:
Documents are on-line and available to print.
Copies will also be with the equipment on day of event.

You will be sent an invoice by e-mail for payment.

Payment for hire can be made using a cheque or on-line.
A booking is only booked once a payment has been accepted by the bank,
generally banks take up to a week to clear personal cheques.

COMBAT ARENA:

The combat arena is fully enclosed so the cars cannot escape.
The floor of the arena is made of woven nylon and under that is
an 9 mm thick soft foam underlay attached to a ground sheet.

Arena in the dance/drama studio at a school.                                 Can be placed in a corner or next to a wall.






The lower section of arena is woven nylon to allow operators to see action right up to the side wall and
a tall fine plastic mesh is in place to hinder anyone trying to reach into and touch the cars.
The zone at end is for attendant, chair and transmitter table.

It is possible to make some adjustment, such as non-use of one or two sides which could be near a wall.
This can allow the set-up to fit into a slightly smaller space.

Each controller has it's own timer to allow the vehicle it is operating to run for a specific time.
This is very useful for public events, as the operated vehicle will stop moving after the set time.

When Model Vehicles Are In Operation:


The radio controlled models are only for use within a covered area to protect from rain.
A covered area is the services shelter, an event's weatherproof marquee or an indoors location.
If the service was not told to bring the shelter and none of the other options are available,
the service will NOT allow the radio controlled models to be used.

Use and Age Group:


Any age can use the vehicles if able to operate the radio control transmitters.
However, in reality, a child under seven years may not have the hand eye co-ordination needed.



If service is hired by any group or organisation that falls under the current 'Safeguarding Act'
they must provide an approved person, who is not connected to the service, to be on site.


At private events there should always be a parent or guardian at the cars arena to
supervise children. The services attendant is only there to look after the model vehicles.

VEHICLE POWER SUPPLY:


Vehicles are battery powered and have a limited battery charge run time based on use.


During long events.
It maybe necessary to stop use of a vehicle to do a battery/vehicle swap.




SPECIAL HIRE CONDITION FOR HOT WEATHER:
It is possible on very hot days where the cars arena area temperature exceeds 29C that the cars
internal overheat protection will activate and the use of the cars will need to stop for a short while.

SERVICES INSURANCE COVER:


The service has five million pound Public Liability and ten million pound Employers Liability cover.


In the case of public events the employers liability is in place for those who
are assigned to help look after the radio controlled vehicles operation.


Sight of the usual required documents is sent as part of first e-mail contact with event organiser
and printed copies will arrive with equipment, the printed copies may be kept if required.

Conditions Other:


Free on-site parking must be available for the service vehicle. If vehicle needs to be parked
away from the arena location, you must inform the service as charges will be applied.



On-site washing and toilet facility should be available for use by the services attendant.
You must inform the service if such a facility is not available and where the nearest one is.



Any indicated assembly/dismantle time is only that time if uninterrupted.
If the attendant has to keep stopping to answer questions, the times can increase to a point
where you miss your 'Use Time' start time. However, the end of use time will still be that booked.





Hire Charge Conditions:


^Forming part of the overall first hour hire fee there is an equipment preparation fee of £60.
This fee is NOT refundable if the equipment arrives at the event but is then not possible
to use if that reason for that non-use is due to the event organiser not complying with
requirements shown on this web page. If the event is outside and the organiser indicated
there was a weather proof covered area large enough to contain the model cars arena set-up and
guests, but not actually having such a location available, is a failure to comply with requirements.

Once equipment is in place and operations start, no refunds of any kind are payable. See * below.

An additional "Use Time" charge to stay at event once first hour has passed
can be added. However, the maximum "Use Time" for any event is five hours.

The information included on this web page will form part of any condition of hire.
It is best to print this web page for your record of current dated content.











*Refund Condition:


An event must not be dependent upon the appearance of the model vehicles
or the ability to use them at time of event.


If the service is unable to arrive at event, then a full refund is made of any fee paid.
Reasons for non-arrival can be as simple as a traffic jam during Bank Holiday days, or anything
outside the control of the service. If a situation occurs where the operation of the radio
controlled cars has to be terminated early for technical reason, then a part-refund is available
for what would have been the remaining "Use Time".

Refunds in general can only be made if a fee was actually paid in the first place to have
the service appear at an event and indicated refunds will be the normal and only redress.
