Main area of operation is in the Mid-Sussex area of West Sussex.
Burgess Hill, Hassocks, Hurstpierpoint, Cuckfield, Haywards Heath and Lindfield.
Location is about ten miles north of Brighton in the South of England.






ALREADY BOOKED DATES:
Once an event is booked, the date (and location if public event) will be listed here.
Currently there is only one arena available, so when a date is gone it's gone.


To allow for equipment maintenance or drying after an event where it rained, the
service does not usually book consecutive events. However, if your wanted date
is either before or after an existing booking date, then contact the service first.



"Pending......" indicates a date is awaiting final confirmation from organiser.

COMBAT ARENA:


This is an example look for one format of the arena.



The combat arena is fully enclosed so the cars cannot escape.
The floor of the arena is made of woven nylon and under that is
an 9 mm thick soft foam underlay attached to a ground sheet.

The lower section of arena is woven nylon to allow operators to see action right up to the side wall and
a tall fine plastic mesh surrounds the arena to hinder anyone trying to reach into and touch the cars.
The zone at end is for attendant, chair and transmitter table.

It is possible to make some adjustment, such as non-use of one or two sides which could be near a wall.
This can allow the set-up to fit into a slightly smaller space.

####  INSIDE USE REQUIREMENTS  ####


When all sides of arena are in use by those operating the cars the area
required for the arena, attendant's table and car operators is 5.2 by 3.8 metres.
Total area needed to allow people to pass one another is 7.2 by 5.8 metres.

INSIDE EVENT
The service needs at least one and a half hours before an event for unload & assemble and up to
one hour and a quarter after to dismantle & remove equipment, this is included in the hire charge.

Charges cover the unload/assemble/dismantle/remove to an arena position
within 15 metres from parked service vehicle on a level access route.


If however there is a requirement to move equipment from one location
to another which is more than 15 metres or not on a level access route,
additional charges WILL be applied. Ask for details.

A parking and remain position, for duration of event, as near to building
entrance where the final arena position will be located.

The requirement to be as close as possible to the set-up point is due to the fact the combined
weight of the arena set-up for inside use is OVER 133 KG in weight and it all has to be moved.

THE ARENA SHELTER:



Arena Area 9m by 7m FIXING WORDS



If an event organiser already has a ready to use all weather outdoor shelter or covered area
which is big enough to contain the radio controlled model car's arena and all expected guests,
that is fine and the equipment will be set up in that location.

Please inform the service before the event if you will have a sufficiently sized shelter in place on the day.




The arena shelter is used for outdoor events, even in summer to help
protect model cars and operators from the sun and any passing bad weather.
The preferred set-up location is grass, to be able to anchor the shelter.
Side sheets are placed if necessary on a sun or rain side of the shelter, to protect cars and operators.
If wind speed is too high for safe use of the shelter,
the cars CAN NOT be used unless there is an inside option for set-up.





There is no "FRONT" as such for the shelter, it can be positioned with either the longer or shorter side
facing towards the view of the general public or to fit the position in a layout at an event.



Actual arena shelter size 6 by 4.5 metres by height 3.4 metres, plus anchor points.

####  OUTSIDE USE REQUIREMENTS  ####


Minimum area for shelter is 10 by 8 metres and a height clearance of not less than 4 metres.
When at arena the service's vehicle is parked within the ten by eight metre footprint.

OUTSIDE EVENT
The service needs at least two hours before an event for unload & assemble and up to
two hours after to dismantle & remove equipment, this is included in the hire charge.
If the needed set-up and remove times are not possible,
then a period within the event's running time could be used so that the before use set-up
happens near to event opening and pack away was completed before event closed.


Charges cover the 'At Service Vehicle' location, unload/assemble/dismantle/remove or to
an arena position within 15 metres from parked service vehicle on a level access route.


If however there is a requirement to move equipment from one location
to another which is more than 15 metres or not on a level access route,
additional charges WILL be applied. Ask for details.

On fields, at arena set-up parking and remain for duration of event.

The requirement to be at the set-up point is due to the fact the combined
weight of the arena set-up is OVER 200 KG in weight and it all has to be moved.

####  REQUIRED FOR SERVICE TO ATTEND EVENT  ####


Free on-site parking must be available for the service's vehicle. If vehicle needs to be parked away from
the arena location, for an inside venue say, you must inform the service as charges will be applied.
If not sure about this contact service.



There are many and some heavy parts which make up the final model cars arena.
The more distance/stairways/other, between service vehicle and arena location will
add a lot of time in addition to the usual set-up/removal time of arena.


You MUST inform the service of any route to final arena location, especially
if there are stairs/lifts/other, as service may need to be inspect route before the event.

HOW EVENT HIRE IS PAID FOR:





LIST OF HIRE OPTIONS:

[HO1]. OUTRIGHT or SPONSORED HIRE for FREE Customer Use At Event:
If event organiser would like the radio controlled models at an event but not charge
the general public for use, the equipment can be supplied as per 'BASIC HIRE CHARGE' list.
The hire charge is either paid by a third party person or business sponsor or event organiser.


The service is happy to display a sponsor's banner or board.








[HO2]. PAY TO PLAY: (open public events only)
A sponsor can be used to pay the 'Basic Hire Charge'.
How it works:
1. A "BASIC HIRE CHARGE (at cost)" is applied for time required.
2. An invoice will be sent for the hire charge.
3. The general public is charged a 'Pay to Play' amount for the use of the cars.
4. Money is collected by the event organiser for the 'Pay to Play' use.
5. A ticketing system is used to count the 'Pay to Play' use.
6. Whatever is collected is kept by the event organiser.
7. The services is hired to attend the event and will not handle any money.





[HO3]. SPLIT INCOME: (only applies to school fairs or if service offered this option)

The model cars as entertainment are available using an income '80/20' split basis.
From income made 80% goes to the service and 20% is passed onto the event organiser.

An income is generated by the general public paying a fee to operate a car, 'Pay to Play'.
The usual fee is £ 2 for a minimum of five minutes. The service will usually collect money but
events can collect money and pay the services split on-line or by cheque via normal mail.

There are no booking fee payments required from the event organiser for the above.


However, if a school event does not want to charge for use, then the
'[HO1]. OUTRIGHT or SPONSORED HIRE:' would be the option to use.





[HO4]. EVENT PITCH FEES:
The area required for the radio controlled model cars entertainment is large because it has to be.
This is NOT a tabletop sized entertainment.

Therefore the service does not undertake events where there are area based pitch fees charged.

The event organiser always has the option to have the entertainment sponsored
which allows for an income if the event is well attended.
Check with service for more details.



[HO5]. PITCH FEES and THIRD PARTY EVENTS:
Any group or school can pay a pitch fee to a third party event for a space
large enough to place the "Arena Shelter" and "Service Vehicle"
and then hire the service to appear as a promotion for the group or school.
Check with service for more details.



[HO6]. NON PUBLIC EVENTS:
The 'HIRE CHARGES' apply to all non-public events, such as birthday parties and corporate family days.
Hire charge has to be paid in advance.
If the event organiser wants to charge for event and use of cars, then the hire is treat as a
'For Profit' event and a 20% 'Profit Amount' charge for any income above the hire cost will be applied.
The 20% of an amount above the original 'Basic Hire Charge', if there is any, would be billed after event.



[HO7]. NOT INDICATED ABOVE:
The service is hired as entertainment for events. However, although the options shown above
are the usual methods to hire, the service is happy to discuss any variant payment method,
discounts for repeat bookings and such. Check with service for more details.









^BASIC HIRE CHARGE (at cost rate) 
[to January - 2018]


Charges displayed are for events within the normal ten mile operational area of the service.
Guide radius "Henfield, Staplefield, Scayne's Hill, Cooksbridge, Stanmer, Patcham, Fulking".
A travel charge of £1.00 per mile would apply to other locations for the
additional complete distance travelled.




Note: The hire times shown below are the "Use Time" when cars are running.

1.0 hour   = £ 170.

1.5 hours = £ 185.

2.0 hours = £ 200.

2.5 hours = £ 215.

3.0 hours = £ 230.

3.5 hours = £ 245.

4.0 hours = £ 260.

4.5 hours = £ 275.

5.0 hours = £ 290.

5.5 hours = £ 305.

6.0 hours = £ 320.

Additional Half-Hours can be added to original booked time once at event.
However, six hours is the maximum event use time.


The service cannot be sub-hired to another party. If it is, ALL parties will be invoiced
for the services usual hire charge plus the hire charge made by anyone sub-hiring.









HOW TO REQUEST THE CARS FOR EVENT:


BOOK:
If interested in having the radio controlled models at an event, please contact the service.

Book in advance. The service will accept bookings months in advance, if you know an actual date.
A date maybe available when looking at this website one day and the date gone by the next day.




Please email service a request to hire the radio controlled cars as a written record,
even if you have indicated over the telephone you wish to use the cars.

When sending information, do include the date and time of event.
Indicate the hire option you want to use from the list above.
Add any information you think the service may need to know.




Once the service has the event information, date and time,
you will be contacted to confirm if cars are available for the event.
For Public Events:
Sight of the usual required documents is sent as part of the service's email confirmation
and printed copies will arrive with equipment, the printed copies may be kept if required.

Depending on hire option requested. You will be sent an invoice by e-mail for payment.

Payment for hire can be made using a cheque or on-line.
A booking is only booked once a payment has been accepted by the bank,
generally banks take up to a week to clear personal cheques.

Each controller has it's own timer to allow the vehicle it is operating to run for a specific time.
This is very useful for public events, as the operated vehicle will stop moving after the set time.

When Model Vehicles Are In Operation:


The radio controlled models are only for use within a covered area to protect from rain.
A covered area is the services shelter, an event's weatherproof marquee or an indoors location.
If the service was not told to bring the shelter and none of the other options are available,
the service will NOT allow the radio controlled models to be used.

Use and Age Group:


Any age can use the vehicles if able to operate the radio control transmitters.
However, in reality, a child under seven years may not have the hand eye co-ordination needed.



If service is hired by any group or organisation that falls under the current 'Safeguarding Act'
they must provide an approved person, who is not connected to the service, to be on site.


At private events there should always be a parent or guardian at the cars arena to
supervise children. The services attendant is only there to look after the model vehicles.

VEHICLE POWER SUPPLY:


Vehicles are battery powered and have a limited battery charge run time based on use.


During long events.
It maybe necessary to stop use of a vehicle to do a battery/vehicle swap.




SPECIAL HIRE CONDITION FOR HOT WEATHER:
It is possible on very hot days where the cars arena area temperature exceeds 29C that the cars
internal overheat protection will activate and the use of the cars will need to stop for a short while.

SERVICES INSURANCE COVER:


The service has five million pound Public Liability and ten million pound Employers Liability cover.


In the case of public events the employers liability is in place for those who
are assigned to help look after the radio controlled vehicles operation.


Sight of the usual required documents is sent as part of first e-mail contact with event organiser
and printed copies will arrive with equipment, the printed copies may be kept if required.

Conditions Other:


Free on-site parking must be available for the service vehicle. If vehicle needs to be parked
away from the arena location, you must inform the service as charges will be applied.



On-site washing and toilet facility should be available for use by the services attendant.
You must inform the service if such a facility is not available and where the nearest one is.



Any indicated assembly/dismantle time is only that time if uninterrupted.
If the attendant has to keep stopping to answer questions, the times can increase to a point
where you miss your 'Use Time' start time. However, the end of use time will still be that booked.





Hire Charge Conditions:


There MUST be free parking available for the service and the parking location needs to be near to where
the arena set up is to be used. YOU MUST inform the service before the event if there is need to move
equipment any distance. If moving has to be done there is a charge and a lot of additional time for
set-up and removal will likely be required.

^Forming part of the overall first hour hire fee there is an equipment preparation fee of £60.
This fee is NOT refundable if the equipment arrives at the event but is then not possible
to use if that reason for that non-use is due to the event organiser not complying with
requirements shown on this web page. If the event is outside and the organiser indicated
there was a weather proof covered area large enough to contain the model cars arena set-up and
guests, but not actually having such a location available, is a failure to comply with requirements.

Once equipment is in place and operations start, no refunds of any kind are payable. See * below.

An additional "Use Time" charge to stay at event once first hour has passed
can be in half or full hour slots. However, the maximum "Use Time" for any event is six hours.

^^If any additional part of a first half-hour is requested, a WHOLE HALF-HOUR fee will be charged.

^^^A WHOLE HOUR will be charged for any additional part of a last half of an hour within a full hour.

The hire fee covers the event time wanted for use of the model vehicles and any other information
included on this web page will form part of any condition of hire.
It is best to print this web page for your record of content.

Remember.
In addition to any time needed to move equipment to and from service vehicle.
There must be access to event at least two hours before event time to set up,
and up to two hours after to dismantle equipment. Example... Event time 14:00 to 16:00,
requires access from 12:00 to 18:00 minimum.










*Refund Condition:


An event must not be dependent upon the appearance of the model vehicles
or the ability to use them at time of event.


If the service is unable to arrive at event, then a full refund is made of any fee paid.
Reasons for non-arrival can be as simple as a traffic jam during Bank Holiday days, or anything
outside the control of the service. If a situation occurs where the operation of the radio
controlled cars has to be terminated early for technical reason, then a part-refund is available
for what would have been the remaining "Use Time".

Refunds in general can only be made if a fee was actually paid in the first place to have
the service appear at an event and indicated refunds will be the normal and only redress.
